Hey Ops Execs,

Identifying the Right Time to Focus on Your Big Project

Ah, that big hairy outstanding project. The one that keeps sliding down the to-do list from week to week, month to month. We’ve all got them.

There can be plenty of reasons why big projects aren’t prioritized, for example:

·      Lack of resources

·      Incomplete information

·      Higher priorities

·      Lack of stakeholder alignment

·      Personal readiness

When these five factors are addressed, but your project remains stalled, it’s time for a new approach to find out what’s really going on.

The Five Whys: A Root Cause Analysis Tool

Sakichi Toyoda, the founder of Toyota Industries, introduced the ‘Five Whys’ method to identify the root cause of problems. And the technique is simple. You ask the question "why?" five times to reveal the deeper issues that might not be immediately apparent.

This iterative questioning method is highly effective in diagnosing and solving inefficiencies. Asking the question five times peels back layers of symptoms to reveal the fundamental issue. It breaks down complex issues so they’re manageable.

It’s sort of like the Socratic method in philosophy. Every question leads to a deeper understanding and insight.   It also helps combat cognitive biases so you can avoid settling for superficial explanations. 

I often use this inquiry to help clients identify the root causes of their overwhelm. I’ll walk you through it now. Grab a piece of paper, or whatever your electronic version of that is, and we’ll get started.

Step-by-Step Guide to Implementing the Five Whys

Step 1: Identify the specific challenge clearly: Perhaps it’s that you feel overwhelmed by your task list. But start with what’s right for you. This sets the stage for a focused inquiry.

Step 2: Ask the first “why”’: Following the example above it could be, "Why do I feel overwhelmed by these tasks?" Your initial response might touch on surface-level issues, such as a lack of time or too many responsibilities.

Step 3: Ask subsequent “why?” questions to uncover root causes. Keep diving deeper. Questions might include: 

·      "Why do I have a lack of time?"

·      "Why do I have too many responsibilities?"

·      "Why isn't this project being prioritized?"

Step 4: Develop an action plan with SMART (Specific, Measurable, Achievable, Relevant, Time-bound) goals. You might decide to allocate specific time blocks for the project or change how you’re delegating tasks.

Step 5: Foster a mindset shift by reinforcing the benefits of addressing that root cause. You might ask yourself, "How will addressing this root cause improve my overall productivity and wellness?" Let yourself really engage with this, until you find something that deeply resonates with you.

By applying the Five Whys technique, you can gain clarity, take control of your mindset, and shift from reactive to proactive mode.
